How to add and manage compliance documents

Upload or link compliance certificates to a property and set expiry dates.

  1. Go to ManageProperties and open the property (or unit) you want to add a compliance document to.
  2. Find the Compliance or Documents section and click Add compliance document (or equivalent).
  3. Choose the document type (e.g. Gas Safety Certificate, Electrical Safety Certificate, EPC, HMO Licence, Fire Alarm Test, or Other). If you choose Other, enter a name.
  4. Either:

- Upload a file – Attach the certificate (PDF or image), or

- Add an external link – Enter the URL if the document lives elsewhere (e.g. on a contractor’s site).

  1. Set the expiry date (e.g. next annual renewal). This is used for reminders and calendar events.
  2. Save. The document is stored against the property and (if enabled) a calendar event is created so you can see it in PlannerCalendar.

To edit an existing compliance document (e.g. update the file or expiry date), open it from the property’s compliance list and use the edit action. You can also filter and view all compliance docs in VaultCompliance tab.
